MICROSOFT WORD SIGNATURE GUIDE

How to Add a Signature in Word

To add a handwritten signature image, place your cursor in Word, choose Insert > Pictures, select your saved image, then resize it. For a signature line or a multi-recipient signing process, choose the method below.

Add a signature image

Use a picture when you need a visible signature mark. This alone does not create a separate signer activity record or verify who inserted the image.

Follow the image steps

Add a signature line

Use desktop Word for Windows' signature-line feature to show where an intended signer should sign. A visible line and a certificate-based digital signature are different things.

Follow the signature-line steps

Request electronic signatures

Consider a signing workflow when you need to send a document to other people and keep the completed document with its available signing records.

Review the signing workflow

1. Insert a handwritten signature image

  1. Write your signature on plain paper and scan or photograph it. Save a clear image on your device.
  2. Open your document in Word and place the cursor where the signature should appear.
  3. Choose Insert > Pictures and select your saved image. Menu labels can differ by Word version and device.
  4. Crop extra whitespace and resize the image to fit. Review the document layout before saving or sharing it.

Keep your reusable signature image private. Anyone with access to the image may be able to copy it. An image is a visual mark; assess any consent, identity and record requirements separately.

2. Insert a signature line in desktop Word for Windows

  1. Place your cursor where the signature line belongs.
  2. On the Insert tab, choose Signature Line, then Microsoft Office Signature Line.
  3. Enter the intended signer's details and any instructions, then confirm the dialog.
  4. Save the document and agree with the recipient how it should be signed. If a certificate-based digital signature is required, check the certificate and software requirements first.

These steps apply to supported desktop Word editions on Windows. They do not describe Word for Mac or Word for the web. Controls depend on your Word edition. If your version does not offer the command, use the image method for a visible mark or review a separate signing workflow.

3. Prepare a Word document for an eSignature workflow

  1. Finalize the content. Confirm names, terms and signature locations before requesting signatures.
  2. Review the upload preview. Check the file formats your chosen workflow accepts. If needed, export a PDF from Word and inspect page breaks, fonts and tables.
  3. Prepare recipients and fields. Add the intended signers and required fields, then review each recipient's role before sending.
  4. Retain the completed records. Check completion status and save the final document and any available signing record according to your organization's policy.

Compare current eSignly plans and confirm the file format, recipient authentication, audit record and retention options needed for your use case. Availability can depend on the plan and configuration.

Questions about signing Word documents

Can I add a signature without an eSignature subscription?

You can insert your saved signature image using Word's picture tools. Word licensing and feature availability are separate from eSignly plans.

Does inserting a signature image prevent changes?

A picture does not by itself protect the document from later edits or establish who inserted it. Review the document's protection and verification requirements before relying on it.

Is a signature image the same as a digital signature?

No. A signature image is a visual mark. A certificate-based digital signature uses a signing certificate and validation process. An electronic signing workflow may provide additional recipient and activity records; check its specific capabilities.

Should I send a Word file or a PDF?

Agree on the required format with the recipient. Exporting to PDF can help preserve the intended layout, but always inspect the exported document and verify that the signing workflow accepts it.

Will every document be legally valid when signed electronically?

Requirements vary by location, document type and signing process. Some documents have special formalities. Obtain suitable legal guidance for your transaction rather than treating a signature image or a software feature as a guarantee.

Real Estate

Real Estate Agency Cuts Document Turnaround by 80% with eSignly

Overview: A boutique real estate agency with 15 agents was struggling with the slow pace of paper-based contracts. Purchase agreements, listing agreements, and rental contracts required clients to visit the office or deal with cumbersome print-sign-scan cycles, often delaying deals and frustrating clients.

Challenges:

  • Losing deals to more agile competitors.
  • Agents spending too much time on administrative tasks.
  • Poor client experience due to inconvenient signing process.
  • Difficulty tracking the status of outstanding contracts.

Solution: The agency adopted eSignly's Business plan for their entire team. They converted their standard Word document contracts into reusable eSignly templates. Now, agents can generate and send a contract for signature from their phone or laptop in under two minutes, directly from a property viewing.

Key Outcomes:

  • Document turnaround time reduced from an average of 48 hours to 4 hours.
  • Administrative workload related to paperwork cut by 15 hours per week.
  • Reported client satisfaction score increased by 25%.

Human Resources

HR Firm Achieves Full Compliance with Secure Employee Onboarding

Overview: A mid-sized HR consulting firm that onboards over 50 new employees per month for its clients needed to streamline its paper-heavy process. The onboarding packet, consisting of Word documents and PDFs for contracts, tax forms, and policy acknowledgments, was difficult to manage, track, and store securely.

Challenges:

  • Risk of non-compliance with data privacy regulations.
  • High volume of administrative work for the HR team.
  • Inconsistent and unprofessional experience for new hires.
  • Insecure storage and handling of sensitive personal data.

Solution: Nexus HR implemented eSignly's Business plan, leveraging templates and the bulk send feature. They created a master onboarding packet template that included all necessary Word and PDF documents, ensuring all required fields and data validation were used to eliminate incomplete forms.

Key Outcomes:

  • Time to complete onboarding paperwork reduced by 90%.
  • Zero instances of incomplete or missing forms since implementation.
  • Achieved 100% compliance with digital document storage policies.

Logistics

Global Logistics Firm Automates 10,000+ Vendor Agreements via eSignly API

Overview: A large logistics provider, working with thousands of independent carriers, needed to automate their vendor contracting process. Generating, sending, and tracking master service agreements (MSAs) from their proprietary TMS was a manual, time-consuming task handled by a dedicated team.

Challenges:

  • Significant operational bottleneck in carrier onboarding.
  • High labor costs associated with manual contract management.
  • Lack of real-time visibility into contract status within their TMS.
  • Risk of data entry errors between systems.

Solution: Vector's development team used the eSignly Enterprise API to build a deep integration with their TMS. When a new carrier is approved in the TMS, the system now automatically generates a contract from a Word document template, pre-fills it, and sends it for signature via the eSignly API.

Key Outcomes:

  • Carrier onboarding process fully automated, reducing processing time by 99%.
  • Annual operational cost savings of over $150,000.
  • Eliminated all data entry errors in the contracting process.
